Role Overview

The Branch Office Administrator is a critical, high-impact role responsible for keeping the Florida Headquarters office running smoothly and efficiently. This is a fast-paced, dynamic position in a growing firm where priorities may shift quickly. The ideal candidate thrives under pressure, anticipates needs before they arise, and can independently determine urgency while communicating clearly when support is needed.

This role supports two advisors directly and serves as the operational and client-service backbone of the branch.

Branch & Office Operations

  • Run the day-to-day operations of a busy regional office with professionalism and precision
  • Manage office systems, workflows, supplies, scheduling, and document management
  • Anticipate operational needs and proactively plan for upcoming priorities without being asked
  • Communicate clearly when support is needed and escalate challenges appropriately

Advisor Support

  • Support two advisors directly with financial planning prep, reports, client communications, and administrative coordination
  • Ensure advisors are focused on clients by managing documentation, scheduling, and operational tasks efficiently and accurately
  • Maintain strict attention to detail and follow-through across all advisor-related work

Client Service

  • Serve as the first point of contact for clients via email, phone, and in-person greeting
  • Deliver a high-touch, professional client experience while managing multiple requests simultaneously
  • Handle highly sensitive client information (SSNs, financial data, investment details) with discretion and confidentiality

Desired Skills & Experience

  • 10-15 years of experience in office administration, operations, or client service in a fast-moving professional environment, REQUIRED
  • 3-5 years of experience in financial services, investment industry, or professional services, REQUIRED
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and CRM platforms; experience with financial planning software (e.g., eMoney, Riskalyze) preferred.
  • Exceptional organizational, communication, and problem-solving skills
  • Proven ability to handle confidential client and company information
  • In-office role with consistent availability
  • Committed to upholding confidentiality and discretion with client information.
  • Comfortable giving and receiving feedback constructively to support team and client success

Work Environment & Schedule

  • Work in-office Monday – Friday, 9 am – 5 pm.
  • Collaborate closely with a team of professionals in a faith-based, supportive environment.
  • A critical, high-impact role with ownership over the branch’s daily operations

  • Competitive $55k base salary PLUS quarterly and annual performance bonuses
