About the Role

Delphi Healthcare is seeking a highly organized and proactive Executive Assistant / Scheduler to support our Chief Executive Officer and operational teams. This role is ideal for someone who thrives in a fast-paced healthcare environment, enjoys multitasking, and takes pride in maintaining structure, communication, and efficiency across multiple priorities.

Key Responsibilities

Executive & Administrative Support

  • Manage and coordinate executive calendars, meetings, and logistics
  • Prepare presentations, reports, and meeting materials
  • Serve as a primary point of contact while handling confidential information with discretion
  • Screen and route incoming communications to appropriate stakeholders

Provider Scheduling & Coordination

  • Coordinate schedules for Emergency Department and Hospitalist physicians and APPs across multiple sites
  • Balance provider availability, time-off requests, and operational needs
  • Ensure proper shift coverage and alignment with organizational goals
  • Maintain fair and structured scheduling practices
  • Build strong relationships with providers to support effective communication

Patient Satisfaction & Follow-Up

  • Conduct patient satisfaction calls using structured questionnaires
  • Accurately document feedback and escalate concerns or trends
  • Provide a professional and empathetic patient experience
  • Assist with reporting for monthly and quarterly reviews

Chart Completion Management

  • Monitor and track open charts to ensure timely provider completion
  • Follow up with physicians and APPs via phone, email, and text
  • Maintain accurate tracking systems and documentation

Travel & Logistics

  • Coordinate travel arrangements for providers
  • Manage changes and ensure alignment with schedules

Events & Project Coordination

  • Support hospital events, donor relations, and external engagements
  • Track project timelines, action items, and deadlines
  • Communicate updates with internal teams and partners

Qualifications

  • Bachelor’s degree preferred (new graduates encouraged to apply)
  • 1–2 years of administrative or scheduling experience preferred
  • Healthcare scheduling experience is a plus
  • Strong organizational, communication, and time-management skills
  • Ability to multitask and thrive in a fast-paced environment
  • High attention to detail and problem-solving ability
  • Proficiency in Microsoft Office (Excel and PowerPoint preferred)
