Job Description

As the Remote Executive Assistant, your mission is to maximize the productivity of our executive team. You will handle complex administrative tasks, manage high-level communications, and ensure that our strategic operations run without a hitch.

Main Responsibilities:

  • Calendar Mastery: Manage complex, shifting calendars across multiple time zones, prioritizing meetings and resolving scheduling conflicts proactively.
  • Communication Gatekeeping: Act as the primary point of contact for internal and external stakeholders, managing emails and drafting professional correspondence.
  • Project Coordination: Track deliverables for ongoing Pernicus ventures, ensuring deadlines are met and follow-ups are completed.
  • Travel & Logistics: Arrange detailed domestic and international travel itineraries (flights, accommodation, visas) when necessary.
  • Meeting Support: Prepare agendas, attend key meetings to take minutes, and distribute actionable tasks to the relevant team members.
  • Data & Document Management: Organize digital files, prepare pitch decks, and assist in the creation of monthly reports.

Job Requirements

  • Experience: 1–5+ years of experience as an Executive Assistant, ideally within a startup, VC firm, or consultancy environment.
  • Tech Savviness: Expert proficiency in Google Workspace (Docs, Sheets, Slides), Slack, and project management tools like Notion, Asana, or Trello.
  • Communication: Exceptional written and verbal English communication skills; ability to interact with high-net-worth individuals and CEOs.
  • Organizational Skills: A "project manager" mindset with the ability to juggle multiple priorities without dropping the ball.
  • Discretion: High level of integrity and the ability to handle sensitive, confidential information with absolute professional secrecy.
  • Education: Bachelor’s degree in Business Administration, Communications, or a related field.
