Administrative Assistant

Swagelok Louisiana

Baton Rouge, Louisiana (Onsite position)

Swagelok Louisiana is seeking an organized, dependable administrative support professional to provide day to day support across the business. This role will work with multiple departments and senior leaders, including the President, and is best suited for someone who excels at and enjoys administrative support work, takes pride in staying organized, and follows through consistently.

About Swagelok Louisiana

Swagelok Louisiana is the independently owned and authorized sales and service center for Swagelok in Louisiana and portions of Mississippi. We provide fluid system products, assemblies, training, and services to customers in oil and gas, refining, chemical, midstream, power, and transportation markets.

We are looking for someone who is detail oriented, dependable, and able to manage multiple responsibilities while maintaining a high level of professionalism and follow through. This role offers a variety of administrative work, but its core focus is providing strong daily support in helping the office run smoothly.

What you will do

  • Assist managers with administrative work such as reports, presentations, data compilation, and file maintenance
  • Provide administrative support to multiple departments as business needs arise
  • Assist multiple departments with tasks and projects as business needs change
  • Handle general office duties such as greeting guests, filing, copying, office supplies, service calls, and minor IT troubleshooting
  • Support quality activities including document revisions, record review, reporting, and follow up on due and overdue records
  • Facilitate meeting preparation, customer training logistics, sales administration tasks, and the On Call Program
  • Support sales administration, meeting preparation, customer training activities, and the On Call Program
  • Plan and organize company events and meetings, including leading the company Social Committee
  • Run occasional offsite errands as needed

What we are looking for

  • High school diploma or GED required
  • At least 3 years of recent administrative support experience in a professional office environment, preferably supporting mid to senior level management
  • Strong organizational and follow up skills
  • Ability to multitask, prioritize, and manage time effectively
  • Proficiency in Microsoft Office, including Outlook, PowerPoint, and Teams
  • Excellent written and verbal communication skills
  • Accuracy, initiative, attention to detail, adaptability, and teamwork
